Position: Assistant Clubhouse Receptionist
Status: Full-time, Temporary
Reports To: Clubhouse Manager
Supervises: No supervisory duties are included in this position.
Hours/Schedule: Approximately 38 hours per week; must be available to work mornings, evenings, weekends, and holidays.
Job Summary: Operate the telephone switchboard for the Clubhouse, taking messages and transferring calls. Accept dining reservations and take-out food orders. Greet members and guests; serve as the point of contact for members and guests entering the Clubhouse and Dining Areas. Serve members and guests in a ?concierge? type role, answering general Club and activity related questions.
The Assistant Clubhouse Receptionist has these Dining Reservation Responsibilities:
Accepts and records dining reservations; takes calls; has a working knowledge of the reservation system; takes same day and future reservations; provides information on availability; maintains a waiting list.
Enters reservations in online system.
Understands and monitors dining room traffic; keeps the Dining Room Manager and the Kitchen appraised of upcoming reservation flow.
The Assistant Clubhouse Receptionist has these Take-Out Food Order Responsibilities:
Accepts calls for food take-out orders.
Enters take-out orders into the Point of Sale System.
Places calls to members, letting them know when their order is ready.
Maintains a copy of the member charge ticket.
Prepares a ?Servers Report? at the end of every shift for all of the take-out orders during that particular shift.
The Assistant Clubhouse Receptionist has these Operational Responsibilities:
Operates telephone switchboard for the Clubhouse; answers the telephone; transfers calls to proper extensions; takes messages for staff members.
Greets members and guests.
Stays up-to-date on all Club activities and functions so as to be able to answer incoming Club related questions; serves as a main point of contact for members desiring information; provides schedules and club information to members and guests.
Takes reservations for Special Events.
Maintains a supply of Monthly newsletters, Activity Calendars, etc.
Assists accounting with inquiries regarding member charges.
Updates new menus as needed.
Constructs bar sheets for banquets and special events.
Prepares list of weekly social events and inserts into dining room menus.
Enters member charges for Wine Tastings into the Point of Sale System.
Maintains the Clubhouse reception desk area to keep it neat and tidy.
Performs other appropriate tasks assigned by the Clubhouse Manager.
