Full Description :

We are looking for an Administrative Assistant to work at our Corporate office. Qualified applicants must have the following:

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Experience in Excel, Word, and PowerPoint.
  • Minimum of High School Degree, some college preferred.
  • Creative and strives to achieve excellence.
  • Candidate must be proactive, organized, and have the ability to work under pressure.
  • Demonstrated customer service and problem solving skills.
  • Enthusiasm, good attitude, trustworthiness, personal integrity and honesty.
  • Bookkeeping, budgeting, and reporting experience.

Job Duties Include:

  • Answer telephones and give information to callers, take messages, or transfer calls to the appropriate individuals.
  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Distribute incoming mail or other materials and answer routine letters.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
  • Maintain office inventory and order supplies and services, as needed.
  • Maintain office for cleanliness.
  • Run errands, as needed.
  • Distribute correspondence to managed properties.
  • Assists in special projects, as needed.
  • Enters invoices and light data in accounting software for Corporate office & managed properties.
  • Prepares invoice remittance and submits payments prior to due date.
  • Prepares invoices for managed properties.
  • Assists in 1099 preparation and mails to vendors at year end.
  • Maintains vendor insurance and W-9s. Creates and updates vendors in accounting software.
  • Makes bank deposits daily.
