The Account Associate performs a wide variety of accounting duties related to inventory, payables in a time sensitive manner. This position works independently to provide accurate and complete records in accordance with and Highway Department policies & procedures.
The following duties are most critical for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Manages cycle counts for all inventoried items. Maintains security and accountability for all inventoried items, small tools, etc. Reviews computerized inventory to determine obsolete items, recommending disposal of excess stock to Office Managers and Superintendents. Maintains physical and computerized inventory system, determining items to be ordered, receives, and checks items, stores and issues parts and supplies. Reconciles inventory discrepancies and researching situations related to the accuracy of the inventory.
Following the Procurement Policy & Procedures requests proposals from vendors for bulk fuel and construction materials and prepares purchase orders for the fuel, tires, parts, construction materials, supplies and receipts them for accounts payable and maintains Purchase Order files.
Unload materials and merchandise from incoming vehicles and stock in assigned places.
Transport raw materials to production workstations.
Supervises employees that help on a seasonal basis and summer help that work in the stockroom doing inventory, purchase orders and payroll entry.
Compiles preventative maintenance list, notifying staff of equipment service dates. Records maintenance history for equipment for Highway, Sheriff & Solid Waste.
Maintains records of all information and parts inventory for department vehicles.
Maintains fuel and oil inventories and FuelMaster system at all Highway shops.
Assists Equipment Facility Superintendent, Shop Foreman, Patrol Superintendents, & Foremen with various administrative/accounting needs.
Responds to inquiries from vendors in regards to purchasing, and municipal customers related to invoicing for work performed.
Train employees in the following software and helps employees trouble shoot when they have issues with the, JD Edwards, Fuelmaster, Base Parts, Kronos, Tyler/ Munis & Kronos
Associate degree in accounting or related field or equivalent related experience;
Two years of experience with inventory, inventory controls, purchasing, accounting, and two years office experience where extensive computer skills and significant attention to detail were necessary.
Knowledge of, or experience with, current county software (Fuelmaster, JD Edwards) and Microsoft Office Suite, especially Excel and Word
Must have strong organizational skills and a solution-driven, customer service-oriented approach
Or, any combination of education and experience that provides equivalent knowledge, skills, and abilities.
Knowledge of and ability to operate forklift along with valid certification or ability to obtain within 60 days.
Valid Wisconsin Driver's License
Required or Preferred Skills
Knowledge of equipment, parts, and materials used by the Highway Department.
Use computer software (i.e. Microsoft Office, JD Edwards) and applications used by the department.
Ability to work in an ever changing environment and be able to coordinate daily work flow with other individuals within the facility and external to the facility.
Knowledge of business mathematics, accounting, office procedures, and business forms.
Organize and maintain accurate and complete records, and prepare clear and comprehensive reports.
Minimum Physical and Mental Abilities Required to Perform Essential Job Functions
Ability to operate a variety of office equipment including personal computer, computer terminal (Accounting Systems), fax machine, photocopier, calculator, the software utilized by the department etc.
Additional Notes (physical requirements, secondary language requirements, etc.) Ability to walk, bend, stoop, lift, carry; push, pull, or otherwise move objects up to 50 pounds, understanding and utilizing proper body mechanics.
