Employment Status: Full time (29-40 Hrs) Closing: 12/1/20 Proposed Salary Range: $25,268.00 Type of Employment: Staff Location: ASU-Jonesboro

Position Summary:

The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency/institution policy.

Duties & Responsibilities:

  • Post entries to computer ledgers and/or journals to account for expenditures and balance budget
  • Enter, process and track requisitions for the Office of Recruitment purchases
  • Track all p-card purchases, prepare monthly log for submission to the Office of Procurement
  • Maintain sufficient supplies for the office, kitchen and work units by conducting physical inventory, ordering, receiving and restocking supplies
  • Develop and maintain an office hardware inventory system, including names, descriptions, maintenance agreements and costs of all equipment in the office
  • Track all travel approval and reimbursement forms, providing a monthly report to the director based on recruitment territory
  • Email and other written requests will be responded to within 24 hours
  • Supervise student workers, working with other Office of Admissions staff to make sure work load is evenly distributed and front desk duties are carried out in a professional manner meeting all the goals and objectives of the Office of Admissions
  • Maintain a printed list of meal cards and coffee tickets given out to students and families keeping a spreadsheet of the number of tickets given out weekly by each staff member in the office
  • Other duties as assigned

Knowledge/Skills/Abilities:

Knowledge of the principles and practices of mathematics and statistics, research and analysis techniques and methods, work-related subject area, and computers and software applications
Ability to prepare, present, and review oral and written information and reports, research and analyze related work program information, develop, recommend, interpret, and apply policies and procedures, analyze financial records and prepare reports, and plan, organize, and direct the work of others

The Administrative Specialist for Recruitment campus faculty and staff to make sure rules and regulations regarding financial resources are followed
Relationships prospective students and their families are also developed as visits are scheduled

Minimum Qualifications:

The formal education equivalent of a High School Diploma
One (1) year of specialized training in business management, business education, or a related field
Three (3) years of experience in specialized or a related field applicable to work performed
Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
