PURPOSE OF THIS POSITION:
Under general supervision of the Business Office Manager, Office Staff personnel perform assigned bookkeeping, record keeping, and clerical activities related to the facility’s business operations. Function strictly within limits of assigned tasks and within well-defined policy, procedure and guidelines. Assist the business office manager to implement and maintain systems to operate the business office in an effective, efficient manner. To assist with implementation and maintenance of admission and financial systems in compliance with federal, state and local requirements. May be a part-time position to provide reception, secretarial and clerical support at peak times or on weekends when Business Office typically is closed.
ESSENTIAL FUNCTIONS:
  • Assist in maintaining an effective, organized efficient accounts payable and accounts receivable system to meet the needs of the facility.
  • Maintain resident billing and accounts, resident trust accounts, and ledgers, as directed, according to accepted accounting principles, regulations, and company policy/procedure and timelines.
  • Communicate and work cooperatively with fiscal intermediaries, company accounting staff, auditors, state agencies and private insurance companies.
  • Assist in maintaining an effective, organized, efficient computer system to meet the needs of the business office.
  • Prepare and submit reports on a timely basis as required and directed.
  • Process correspondence related to business office as directed.
  • Communicate and work cooperatively with residents and their financial representatives or family members.
  • Communicate and work cooperatively with facility vendors, suppliers and contractors.
  • Balance daily receipts as directed.
  • Provide secretarial and/or clerical services for administrator and department heads as requested, such as typing, photocopying, compiling/reporting statistics and other data such as filing and mailing.
  • Be responsible for assisting residents to and from activities of their choice and to modify schedules, meal times, therapies, etc. to maximize involvement in activities.
Qualifications:
Education/Certification/License:
  • Training/education in record keeping, bookkeeping/accounting and secretarial skills.
  • High school diploma or equivalent .
Experience:
  • Work history in an office setting.
  • Computer proficiency, familiarity with Windows and Microsoft Office products.
  • Calculator proficiency.
  • Working knowledge of office machines operation, such as photocopier, fax.
Skills/Abilities:
  • Typing skills of at least 40 words per minute.
  • Functional Literacy in written and spoken English.
  • Effective organizational skills and attention to detail.
  • Management and supervisory skills.
  • Proficient interpersonal relationships and communication skills.
  • Ability to follow written and oral instructions.
  • Complete assignments timely, completely and accurately.
DELEGATION OF AUTHORITY:
Authority is delegated to the individual in this position to:
  • Develop, implement and maintain systems to collect, document accurate, complete admission data.
  • Develop, implement and maintain systems to assure prompt retrieval of resident information.
  • Develop, implement and maintain systems to assure confidentiality of resident information.
  • Develop and implement a monitoring system to assure compliance with federal, state and local requirements.
  • Develop and implement systems to operate the facility in a financially sound manner.
