This position is responsible for providing a wide range of office management and support to the company including answering phone lines, purchase orders, order entry, scheduling, and shipping. Must be self-managed and able to complete clerical tasks.

Essential Duties and Responsibilities

  • Answer the telephone
  • Create order entry for new purchase orders
  • Purchase raw materials, Personal Protective Equipment and shop consumables.
  • Manage inventory
  • Sort and distribute incoming deliveries
  • Update schedule daily to include new orders and shipping information for completed orders
  • Coordinate domestic and international shipping and address shipping issues (damage claims, address corrections, etc.)
  • Assist in preparing order entry for invoicing
  • Update blanket order spreadsheets with shipping information
  • Help resolve issues and questions regarding purchase orders
  • Communicate date issues with the Production Manager
  • Communicate changes to Project Managers and the Purchasing Department
  • May perform other duties as assigned.
  • Development of communication and other needed skills to converse with vendors ie... manufacturing, installation, product specs.

Ability to work extra hours as needed.

Minimum Qualifications (Education, Experience, Skills):

  • High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to read and interpret a ruler.
  • Ability to apply logic to understand and carry out detailed written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Proficiency in Word/Excel and Google Docs
  • Good organizational skills and ability to prioritize duties.
  • Ability to work with different people from inside and outside the organization.
  • Ability to meet the physical demands of the position.
