Greet and register all patients ensuring a smooth flow of patients. Collect accurate insurance information, as well as co-payments & outstanding balances from patients. Work toward the common goal of providing excellent customer service to patients and visitors to the practice. Project a professional company image through in-person contact and phone interaction while providing high quality patient care and excellent customer service to both internal and external customers. Responsible for managing the patient records for Eye Associates Northwest, PC?s providers. This includes coordinating efforts with satellite offices, offsite storage, incoming and outgoing releases of personal patient information, copying medical records and filing.
ESSENTIAL FUNCTIONS INCLUDE:
Greet patients, determine nature and purpose of visit, and direct or escort them to specific destinations.
Obtain all patient demographic and insurance information, ensure accuracy and update systems.
Verify and record patient?s insurance coverage and scan the card(s).
Obtain updated medical history.
Prepare patient chart.
Alert technician of patient?s arrival.
Send referral and interpreter requests when necessary.
Collect all patient balances and co-pays and post accurately.
Check patients out by making follow up appointments and or entering patient recall reminders.
Transmit information or documents to customers, using computer, mail or facsimile machine.
Monitor incoming facsimiles and distribute to appropriate departments as well as fax outgoing documents as needed.
Shift close, ensure all monies and report balance.
Perform duties, such as taking care of plants or straightening magazines to maintain lobby or reception area.
Answer calls professionally during normal business.
Make outbound calls for reschedules, returning patient calls from voicemail.
Identify and route calls to appropriate resource such as triage, medical records, optical, billing or other circumstances.
Respond to callers? inquiries about Eye Associates Northwest, PC offices and Doctors through our website.
Schedule, reschedule, or cancel appointments for multiple Practitioners.
Review schedules for accuracy or possible adverse situations, such as overbooking.
Follow appropriate guidelines for account and appointment notes documentation.
Identify special handling requirements, such as referral or interpreter necessity.
Identify problem issues and determine resolution or appropriate course of action or redirection within the guidelines required to resolve issues.
Diffuse angry callers in a tactful and professional manner.
Schedule and confirm patient diagnostic appointments, surgeries or medical consultations.
Other duties as directed by the Lead or Manager.
SKILLS & ABILITIES
Education: High School Graduate or General Education Degree (GED) Experience: One to two years related experience
Computer Skills: Intermediate level in Microsoft Office Suite, Basic level of NextGen-preferred
Other Requirements: Basic knowledge of medical coding terminology and convention.
