Full Description :

Summary Responsible for front desk reception area, assuring that phones are answered in a prompt courteous manner and that customers are greeted upon arrival. Provide clerical and administrative duties as required. This position is for 40 hours per week, Monday through Friday from 8:00 a.m. to 5:00 p.m.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Answer all calls within three rings, using good customer service skills.
  • If employee is not available to receive a call, send caller to voicemail or cellular phone, or take accurate and complete messages.
  • Greet customers immediately upon arrival and make them feel comfortable. Offer beverages as they wait.
  • Collect and organize all incoming facsimiles, as well as sending faxes for all properties.
  • Support administrative staff in scheduling relief for breaks and lunch hour.
  • Keep front office area neat and clean, including:
  • Coffee room:
  • Put dishes in dishwasher and empty dishwasher in the mornings.
  • Make coffee.
  • Keep counter clean.
  • Keep refrigerator clean and defrosted.
  • Conference Room:
  • Keep table cleared off and clean.
  • Straighten chairs.
  • Mini-kitchen area clean and refrigerator defrosted.
  • Stamp and track cost of postage for outgoing mail.
  • Hand out employment applications to potential employees and route to appropriate person.
  • Maintain Vendor List and Vendor Files and publish a report monthly to the District Supervisors and all properties as to the approved status of all vendors.
  • Keep track of incoming 888 calls via a list of inquiries and how they were handled.
  • Prepare correspondence as directed by administrative staff.
  • Distribution of daily mail in appropriate mail bins. All mail for President and unknown addressee’s to be forwarded to Executive Secretary
  • Handle Certified, USPS and Federal Express mailings.
  • Processing of Weekly Reports through copying, distributing and faxing.
  • Maintain an on-going inventory of all office supplies using vendors with the best overall pricing.
  • Keep supply areas neat and clean at all times. Keep refrigerators stocked with beverages.
  • Maintain strict confidentiality of all Stout Management Company matters.

Education and/or Experience

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills

To perform this job successfully, an individual should have knowledge of Adobe Acrobat Database software; Internet software; MS Excel Spreadsheet software and MS Word software.

A Valid, Unexpired Driver's License
