What You Will Do:
Greet and assist customers and visitors in a polished, professional, discrete manner. Manage the front desk sign-in and out process for visitors and vendors. Answer and direct incoming phone calls. Inform staff of the arrival of guests, packages, and other deliveries
Provide assistance to President and other company officers as required or as requested including word processing, transcription, information research, filing, taking and directing telephone messages.
Makes arrangements and assists executive leadership with travel arrangements including flight/car reservations, lodging and meals in accordance with company policy.
Schedules and performs word processing and spreadsheet activities, formats, revises and prints out final copies of complex documents for other employees.
Maintains on-site computer network and ensures resources are made available. Trains and assists staff with information technology questions and problems. Coordinates with external IT vendors for support.
Responsible for operating and maintaining office equipment; arranges for repairs when necessary.
Oversee the functions of the corporate office including assisting with administrative duties, billing, marketing, accounting, procurement, shipping/receiving and other duties as needed.
Coordinate monthly expense reporting process with corporate office for reimbursement.
Facilitate the vacation log program in conjunction with the corporate office.
Assist corporate office with collecting necessary information for new and current associates.
Promotes and participates in the education of staff, team member, resident and families.
Other duties as assigned by supervisor.
The position reports to the President and is expected to perform independently and exercise good judgment. The position does not supervise other employees.
Why You Are Qualified:
The ideal candidate will have the following:
High school diploma or equivalent (GED) required, Associates degree in related field preferred.
At least three (3) years of related work experience in customer service required.
Must have good interpersonal skills, organized, proficient in Microsoft Office products, effective verbal communication skills, courteous, professional, good listener, experience supporting a busy office, able to work independently. Must be computer literate with good organizational skills. On a daily basis, throughout the workday: Must be capable of sitting, standing, walking, climbing stairs, reaching, turning, bending, stooping, crouching and kneeling, reaching over the head, grasping with both hands, and fine manipulation. Must physically be able to lift up to 25 pounds unassisted on a regular basis.
Senior living, health care or hospitality experience preferred.
