Full Description :

The Outpatient Therapy Office Assistant ensures excellence in customer service and professionalism by supervising the day-to-day activities of reception area in the outpatient department. This position is also responsible for presenting the best "first impression" possible to Lakeview Village guests and visitors.

  • Ensure friendly, courteous, prompt and informative service to customers of Lakeview Village outpatient department (residents, family, employees, visitors, etc.) via telephone, in writing, and in person.
  • Perform office tasks required for coordination of therapy services to ensure prompt and efficient delivery of service.
  • Organize and track the medical records for the rehab clients to ensure timeliness of skilled documentation and physician orders.
  • Scan and attach billing and therapy documentation to EMR as per policy.
  • Complete the billing paperwork as needed for the therapy clients.
  • Assist with Part B SNF processes for physician orders, contacting DPOA's, sending out and obtaining signatures on required billing paperwork and discharge notification forms
  • Work closely with billing coordinator for insurance verification and accurate billing.
  • Assist with AOD scheduling for therapy staff to ensure proper treatment frequency and to promote consistency for clients. Work closely with therapy staff and managers for optimal scheduling.
  • Assist with updating and maintaining written procedures for functions performed in the rehab department.
  • Ensure that the department mail is delivered and retrieved and is forwarded / distributed in appropriate manner.
  • Prepare/compile variety of data for OP, Medicare and insurance billing as needed.
  • Assist with distribution and collection of OP satisfaction surveys.
  • Perform AOD task list functions to facilitate timely billing at end of month.
  • Perform duties related to keeping the office and treatment areas clean and orderly.
  • Perform duties related to cleaning treatment areas as directed, update logs for temperature check, and gather laundry.
  • Assist rehab staff with transport of clients, equipment, and or general assistance during treatment.
  • Develop and maintain a good working rapport with inter-department personnel and other departments within the facility, to assure that rehab programs can be properly maintained to meet the needs of facility and residents.
  • Ensure that the rehab departments are maintained in a clean, safe and orderly manner for the comfort and convenience of the clients.
  • Ensure that residents rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights, including the right to wage complaints are followed.
  • Attend and participate in in-service educational classes and on-the-job training programs.
  • All other duties as assigned by your supervisor or person in charge.


  • 6 months medical office scheduling expereince preferred
  • GED or High School Graduation required.
  • Computer experience in Microsoft Office.
  • Computer experience with electronic medical record
  • Telephone, organizational, writing (composing correspondence) skills.
  • An empathetic approach to the elderly.
  • Be an able leader in group situations.
  • Ability to exercise independent judgment where procedures cannot be found.
  • Ability to work independently; display a kind, courteous attitude, and work in a team-oriented setting with residents, relatives, staff and others.
  • Ability to hear, read, write and speak English with proficiency when performing work duties which require this need.

Job Type: Full-time

Pay: $14.00 - $16.75 per hour
