The Secretary will provide high-level administrative support for the Lake County Sheriff Department and top executives of the organization. Often handle more complex responsibilities, such as reviewing incoming documents, conducting research and preparing reports.
Ø Answer telephones and take messages or transfer calls.
Ø Schedule appointments and update event calendars.
Ø Arrange staff meetings.
Ø Handle incoming and outgoing mail and faxes.
Ø Prepare memos, invoices, or other reports.
Ø Edit documents.
Ø Maintain databases and filing systems, whether electronic or paper.
Ø Handle Confidential Material.
Ø Perform any other task as assigned.
Skill, knowledge, and Abilities
Decision-making skills. Excellent skills to prioritize tasks and make decisions; good judgment is essential.
Interpersonal skills. Demonstrated ability to interact with clients, customers, or staff. Communicate effectively and be courteous when interacting with others to create a positive work environment and client experience.
Organizational skills. Above average skills in keeping files, folders, and schedules in proper order so an office can run efficiently.
Writing skills. Excellent skills writing memos and emails to communicate effectively with supervisors, employees, and customers. Therefore, have good grammar, ensure accuracy, and maintain a professional tone.
Multitasking skills –Demonstrated ability to manage simultaneously task throughout the day, and be able to prioritize tasks.
Attention to detail –proofreading text and double-checking figures are crucial.
Collaboration skills – Demonstrated ability to work well with people at various levels within the organization.
Listening skills – listen carefully to orders and carry them out on time.
Computer proficiency – General knowledge of computer software (e.g., But not limited to Microsoft Office; Word; Excel; PowerPoint; Outlook). Social Media / Internet content.
Professionalism –dress appropriately, possess exceptional manners and aim to reflect well on those they represent consistently.
High School Graduate (Bachelor Degree from an accredited institution preferred)
