BANQUET COORDINATOR / DAY-TIME RECEPTIONIST
We are looking for a successful and enthusiastic event coordinator to plan and schedule events from conception through to completion. Event coordinator responsibilities include providing outstanding customer service, communicating promptly with clients and organizing memorable events that meet quality expectations.
10k sq ft. Restaurant & Bar specializing in rustic Italian cuisine.
Open for dinner Wednesday to Sunday at 4:00pm
Available for Banquets and private events for up to 200 guests before dining hours (50 guests during)
190 Indoor/Outdoor dining capacity, 40 Bar Seats.
Catering on/off premises
Banquet Coordinator Responsibilities:
Respond promptly (no less than 24 hours) to all event inquiries and provide available dates, spaces, packages & rates.
Schedule meetings with clients to discuss event details & recommend appropriate packages.
Ensure there are enough sales kits available for any customer visit.
Tour, inspect and monitor banquet spaces & develop an understanding of the best use for each space.
Prepare all typed materials such as packages, contracts and all other forms accurately.
Ensure that all calendars & files are properly updated in the banqueting system regularly.
Maintain a line of contact between yourself & the clients to answer any questions.
Complete contracts with menus and head-counts within the restaurant deadlines.
Communicating client requirements in a timely and accurate manner to all departments as required, ensuring delivery of superior guest service.
Help to arrange event spaces on either the day of, or day before the scheduled event.
Ensure feedback received from host / guests are passed on to all departments.
Ensure a positive working relationship between all departments.
Propose ideas to improve provided services and event quality
Specify staff requirements and help coordinate their activities
Proactively handle any arising issues and troubleshoot any emerging problems on the event day
Conduct pre- and post – event evaluations and report on outcomes.
Research market & identify event opportunities and generate interest.
Day-time Receptionist Responsibilities:
Answer phones & provide any/all information about the restaurant to guests.
Take reservations for the restaurant using the provided software (RESY)
Become familiar with all of the restaurants operations and become a known face throughout the restaurant.
Skills & Requirements
Proven experience as an events planner or organizer
Portfolio of previously managed events (weddings, meetings, parties, corporate events)
Excellent time management and communication skills
Sales skills and ability to build productive business relationships
Ability to manage multiple projects independently
MS Office proficiency
Proficient in e-mail communication & google calendar.
