Under general supervision, performs a wide variety of administrative and customer service functions for the Planning and Engineering divisions of the Community Development department.

Salary:

  • Administrative Assistant I: $1,525.99-$1,939.10 biweekly.
  • Administrative Assistant II: $1,719.95-$2,185.34 biweekly.

Typical Duties
  • Providing a high level of customer service to the public, representatives of other agencies, and City staff, in person and over the telephone.
  • Processing resolutions, grading plans and bonds.
  • Issuing grading, encroachment, and building permits.
  • Arranging meetings, scheduling appointments, and transmitting information to applicable parties.
  • Maintaining records and calendars for permits, certificates and agreements.
  • Performing light bookkeeping duties and processing payments, invoices and purchase orders.
  • Performing clerical duties such as preparing reports and documents while focusing on proper format, grammar, punctuation and spelling.
  • Preparation of meeting agendas and minutes.
  • Assisting with projects, research or tasks under the general direction of higher-level staff.
  • Performing other duties as assigned.
Employment Standards & Special Requirements

Knowledge of:

  • Basic organization and function of public agencies, including the role of an elected City Council.
  • Codes, regulations, policies, agreements, technical processes and procedures related to City and departmental activities.
  • Applicable federal, state, and local laws, codes, rules, ordinances, and regulations.
  • Standard office administrative and secretarial practices and procedures, including the use of standard office equipment.
  • Principles, practices and methods for administering safety and training programs.
  • Business letter writing, techniques for preparing informational materials and the standard format for reports, correspondence and other written materials.
  • English usage, spelling, grammar and punctuation.
  • Computer applications related to the work, including word processing, database and spreadsheet applications.
  • Records management principles and practices.
  • Business arithmetic and basic statistical techniques.
  • Techniques for providing a high level of customer service to the public, representatives of other agencies, and City staff, in person and over the telephone.

This position requires strong verbal and written communication skills and a positive, courteous approach to working with customers to resolve problems. Spanish language skills are desirable.

Ability to:

  • Perform detailed office support work accurately and independently within deadlines.
  • Assist in policy related decisions relative to routine and non-routine problems;
  • Learn to use specialized software as implemented.
  • Establish and maintain effective and cooperative working relationships.
  • Use good judgment in dealing with the public and responding to requests for information.
  • Handle a variety of activities simultaneously.
  • Use initiative while working within established guidelines and procedures.
Education and Experience Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required qualifications would be equivalent to graduation from high school and:
  • Administrative Assistant I: One year of office administrative support or records management experience.
  • Administrative Assistant II: Three years of responsible office administrative and/or secretarial experience or two years of experience equivalent to that of the Administrative Assistant I.

A high level of customer service, working in a public agency, and strong computer skills are all highly desirable.
Licenses and Certifications:
Possession of a valid Class C California Driver License and a satisfactory driving record. Selection Procedure & Application Process
