Position Summary

The individual in this position assists in maintaining the store’s team philosophy. Under general supervision, the Operations Manager oversees store operations, including sales, customer relations, personnel management, merchandising, and shipping and receiving.

The work schedule for this position is 35 hours per week: Monday and Wednesday, from 9:00 a.m. to 4:00 p.m. with a 30 minute break; Tuesday and Thursday, from 9:30 a.m. to 6:30 p.m. with a 30 minute break; and Friday, from 9:00 a.m. to 2:00 p.m. Flexibility is required.

  • 50%Supervises and oversees daily operations and security of the store.
  • Evaluates the store’s sales volume, expenses, staffing, and overall operation. Makes modifications or recommendations when necessary.
Ensures that the customer service standards of the CSM College Store are upheld.
  • Assists customers with returns, refunds, special orders (i.e., software, nursing pins), and general information.
  • Negotiates an equitable conclusion all customer problems.
  • Performs opening and closing procedures.
  • Prepares and reconciles cash drawers at the beginning and end of each day. Completes deposit for pick up.
  • Prepares and reconciles daily and monthly sales reports including charges, cash, grants, checks, payouts, gift certificates, and check refunds. Forwards balanced account information to the Bursar’s Office Cash Receipts Accountant and sends copies to supervisor.
  • Conducts customer transactions through the point of sale system.
  • Follows the CSM College Store procedures and guidelines for cash transactions, credit card sales, returns, exchanges, department charges, scholarship and grant sales, web order pickups, rental books, daily and end-of-semester buybacks, etc.
  • Processes check refund requests.
  • Processes vending machine refunds.
  • Monitors the general appearance of the store.
  • Places food and beverage orders for the store.
  • Monitors food and beverages for expired product. Notifies General Operations Manager of items that need to be written off.
  • Maintains store inventory. Communicates all inventory issues to supervisor.
  • Follows and enforces store loss prevention policies.
  • Develops and maintains proper controls to verify accurate inventory counts and pricing of all merchandise.
  • Monitors inventory numbers and performs periodic inventory counts to ensure accuracy.
  • Ensures replenishment of merchandise and books on a daily basis.
  • Ensures excess merchandise and books is organized in the stockroom.
  • Assists in distributing graduation caps and gowns.
  • Oversees interim and end-of-year physical inventories.
  • 50%Applies shipping/receiving standards, policies, and procedures in daily operations.
  • Maintains a calendar of events for shipping and receiving.
  • Oversees a filing system for all shipment records. Ensures filing is completed weekly.
  • Maintains shipping and receiving files for all completed purchase orders, packing slips, and returns documentation.
  • Maintains a log of all incoming and outgoing shipments.
  • Receives and processes all textbook, general merchandise, and tradebook shipments within one business day during non-bookrush times or three business days during bookrush times. Receives shipments in order of priority such as textbooks during bookrush or tradebooks for an author signing.
  • Unloads shipments and relocates boxes of books and other merchandise into the store.
  • Inspects for damaged goods.
  • Enters item information into the computerized inventory management system. Notifies the Textbook Manager of cost and retail price discrepancies.
  • Accurately computes appropriate pricing. Generates and applies price tags/barcodes on all items without pre-made barcodes.
  • Displays shelf tags with accurate pricing information.
  • Stocks textbooks, general merchandise, and tradebooks on shelves and display racks on the sales floor.
  • Completes and forwards all receiving documentation to supervisor for payment within one business day during non-bookrush times and three business days during bookrush.
  • Resolves discrepancies regarding miss-shipments and/or damaged/defective shipments.
  • Notifies Textbook Manager immediately and assists with the resolution of textbook order discrepancies.
  • Notifies vendor/publisher within three business days from date of receipt and obtains return authorization.
  • Performs inventory transfers to/from the other campus stores. Ensures that all items transferred are accurately processed in the computerized inventory management system.
  • Processes textbooks, general merchandise, and tradebooks to be returned to vendors for credit through the computerized inventory management system. Works with the Textbook Manager to ensure that these returns are completed in a timely basis.
  • Ensures that textbook returns are started after mid-term and are completed by the end of the current semester.
  • Obtains permission for returns as required, i.e., composes correspondence to publisher to secure textbook return authorization.
  • Prepares product(s) for shipping using proper carton for the weight of the merchandise along with sufficient packing material. Weighs and records weight of each box.
  • Completes shipper information (electronic or hard copy version) following established store shipping procedures. Calls for freight pickup.
  • Forwards all return documentation to supervisor within one business day.
  • Communicates with publishers and transportation companies to ensure completion of shipments.
  • Follows up with vendors on outstanding credits.
  • Processes books bought back from students and returned rental books.
    • Ensures all quantities of books bought back for retail and wholesale reconcile with computer generated buyback reports.
    • Applies USED price stickers to all books for retail and moves books to appropriate textbook shelves.
    • Ensures that all wholesale books are organized, packed, and sent within two days from the end of buyback following shipping procedures for return to vendor.
    • Assists in reconciling returned rental textbooks at the end of the semester.
    • Processes rental returns to the vendor.
  • Maintains a safe, clean, organized, and secured shipping and receiving work area.
  • Follows and enforces safety policies.
  • Ensures that all cartons are broken down and that trash is placed in appropriate bins on a daily basis.
  • Saves/recycles cartons from incoming freight for future use when shipping and returning merchandise and books.
  • Ensures proper maintenance of the equipment.
  • Maintains operational supplies inventory. Submits requisitions for supplies to General Operations Manager before supplies are depleted.
  • Maintains a Shipping and Receiving Policy and Procedure Manual.

Additional Duties:

  • Performs other related work as required.
Minimum Education and Training
  • High School Degree required
  • Business courses or computer courses preferred
Minimum Qualifications and Standards Required Knowledge, Skills and Abilities:
  • Two years retail sales experience
  • Customer service experience
  • Supervisory experience
  • Demonstrated knowledge of shipping and receiving functions in a retail environment
  • Data entry/PC experience/POS experience

Physical Requirements:
  • This is a 35 hour per week position that typically works Monday and Wednesday 9:00 a.m.-4:00 p.m. with a ½ hour break; Tuesday and Thursday 9:30 a.m.-6:30 p.m. with a ½ hour break; and Friday 9:00 a.m.-2:00 p.m. Flexibility is required.
  • This position requires the incumbent to adjust his/her work schedule and/or work additional hours to meet the needs of the business, i.e., bookrush, vacations, sickness, etc.
  • Retail environment with constant interruptions
  • Heavy lifting (boxes of books) on a consistent basis
  • Ability to lift up to 70 pounds
  • Travels between campuses as needed
