We are a small company that is growing rapidly. This has created the need to create a new position to support the Operations Manager. Seeking an organized, motivated, and intelligent person to assist the Operations Manager with managing many aspects of the company. A successful person in this role will be learning a great deal about operations and positioning themself to grow with the company as it expands in the future.
Administrative Assistant major responsibilities:
Ensures employer and employee compliance with local, state, and federal laws as well as all BehaviorSpan policies.
Assists Operations Manager with various assignments or projects, as instructed.
Reviews incoming job applications daily, contacts applicants, performs telephone screening, performs in-person interviews, and keeps the Operations Manager updated.
When appropriate, refers candidates to department managers for candidate screening and interviews. Secures updates from the managers updates records accordingly.
Prepares all job-offer paperwork. Provides offer paperwork to other managers, when necessary.
Administer the security, integrity, and compliance of personnel files. Coordinate with HR Manager to ensure files’ compliance.
Updates and maintains internal HR files and reports (manual and/or electronic), as directed.
Utilizes MS Word, Excel, PowerPoint, and Outlook as directed by Operations Manager.
Ensuring employee documents are current.
Conducts annual benefits enrollment campaigns, assisting employees, as needed.
Coordinates/communicates with Training Manager regarding new hires and training schedules. Eventually conducts trainings themselves, in coordination with the Clinical Director.
Maintains confidentiality and integrity.
Maintains professional dress and appearance during business hours.
Does client intake paperwork and processes, helps with private insurance and Medicaid funding acquisition.
under supervision of Operations Manager and CEO, produces written procedures for company and helps implement them.
Other duties as assigned.
2 years’ experience in HR functions preferred
Excellent verbal and written communications skills and interpersonal skills
Strong team-building skills, including appropriate and timely follow-up with internal and external contacts
Meeting deadlines, exercising proper judgement, and maintaining professionalism at all times.
Proficient in MS Word, Excel, PowerPoint, and Outlook
Works with minimal supervision and exemplary initiative
Very organized and able to multi-task effectively
Minimum education requirements:
High School Diploma, GED or equivalent
