Position Description

Position Title: Receptionist

Grade: 6

Department: Branch Operations

Revision Date: 4/2019

Reports To: Branch Manager

Classification: Non Exempt

Purpose of Position: To provide a full range of Credit Union services. Describes services offered, answers members questions regarding a variety of services. Assists new/existing members in selection of services; including loans, cash, and (teller) services. Reconciles member problems and accounts. Builds and strengthens member relationships by matching the members’ financial needs to the Credit Union’s products and services at every opportunity. This position requires someone who is very positive and outgoing with good communication skills. The job specifically entails:

  • Lobby management
  • Educating members on how to better manage their money
  • Generating sales referrals
  • Explaining how the Credit Union can help enhance their financial well-being; so the members can not only pay us less but also pay other creditors less

Key Characteristics of Position: An understanding effective sales strategies to generate sales referrals for other employees. Ability to outlining benefits of products such as checking and savings accounts, loans, credit life, credit disability, mechanical breakdown protection, and GAP insurance. The ability to connect with the members and sincerely enjoys helping others. A creative self-starter, goal oriented, results driven, and enjoys competition.

ESS Job/Task Functions: ESS = Essential to the Position

A. Present a professional positive image of the Credit Union to members and potential members at all times.

B. As a Dort Financial team member, assist members by finding creative solutions to their financial needs. Refer members to member services as appropriate via Dort’s cross-selling methods.

C. Greet each member with a friendly smile and a verbal welcome.

D. Manage the sign-in and prioritization process of members coming into the branch for assistance. Assist members contacting the credit union by telephone.

E. Provide information as to the type of loan best suited to the member's individual need.

F. Responsible for entering new member information on computer system accurately, and prepare various monthly account reports.

G. Accept authorization forms for hourly payroll and allocation of payroll, assist members in funding schedules to meet programs they are enrolled in.

H. Audit recently opened memberships and closed loans for accuracy, completeness and validity of information.

I. Assist members in completing forms for direct deposit of net pay, social security, government checks, and pension checks, and remit to proper agencies or departments.

J. Responsible for providing members with information regarding share and share certificate programs, rates, terms, maturities, penalties, withdrawal privileges. etc.

K. Accept applications for share draft account, order starter kits, prepare initial order forms, and explain program.

L. Process IRA contributions, distributions, rollovers, transfers and post 70 1/2 payouts.

M. Provide new and replacement ATM cards, maintain log of ATM card stock, and issue personal identification numbers (PIN).

N. Assist members in reconciling problems relating to any account function and instruct them on the use of the company’s website via the lobby internet kiosk.

O. Block and Hot card Visa, Visa Debit and ATM on the XP System and notify Visa Coordinator. Unblock Visa, Visa Debit and ATM cards with Fidelity and on XP system when necessary.

P. Process request for transfers (in person and on the phone), name and address changes, joint owners changes, issuing new account numbers, stop payments, scan copies of documents and share drafts, requests for account research.

Q. Notify appropriate departments of deceased members, obtain death certificates, personal representative papers, prepare insurance forms and initiate account changes (if necessary).

R. Perform other duties and responsibilities as requested by the supervisor, including but not limited to: scanning branch work, ordering supplies, storage maintenance.

S. Perform other duties and responsibilities as directed by management, including working in a Member Service Representative or Teller capacity.

T. Comply with all Bank Secrecy and OFAC requirements as outlined in Dort Financial Credit Union’s policies and procedures.

U. Comply with all Safe Act requirements as outlined in Dort Financial Credit Union’s policies and procedures.

General Education Development

Minimum Formal Education: High School Diploma or GED required.

Experience: At least one year or more of credit union or financial experience in customer contact preferred.

Other Requirements: Must be bondable. Must possess a working knowledge and experience in Microsoft Office or similar software.

Equipment Used: Office Machines: Computer, Calculator, Printer, Fax, Phone System.
