Receive all information that is pertinent from the prior shift.
Greet all visitors by phone or at the desk and direct them accordingly.
Answer or direct all customer inquiries.
Conduct all page announcements when necessary (e.g., fire alarms-all clear).
Respond and report on all in-house pagers/emergency call systems when necessary.
Appropriate use of in-house radios for necessary communications.
Monitor and respond to fire alarm system
Monitor the security cameras.
Monitor and respond resident and internal alarm systems.
Provide the sale of newspaper, postage and food sales to residents and employees.
Record and notify all residents when packages and medicine arrives and is picked up.
Input and display daily menus, activities and special events on the Wesley Woods TV channel (currently not in use, but may be in future).
Sign out and receive calls from residents signing out for less than 24 hours.
Provide or assist residents with Leave of absence forms.
Record all meals for independent residents.
Provide or assist residents with maintenance and housekeeping orders and input into the work order program.
Direct payments to payment box or to appropriate staff.
Notify residents when outside vendors are providing service.
Monitor, record and forward census changes to appropriate areas. .
Sign out and receive keys to the appropriate people (contractors, POA, etc.).
Complete special projects as assigned by departments.
Support all marketing efforts by getting all necessary contact info via phone or walk in inquiries.
Update all master resident listings in a timely manner.
Sort and deliver incoming mail.
Insure that lobby areas are kept clean and orderly
Update and distribute activity newsletters, calendars and other company literature.
Update internal communications channel and power points
Produce internal communications postings.
Train front desk staff
Test staff skills and evaluate front desk employees
Schedule front desk employees
Manage call offs and attendance of front desk employees
Update front desk training materials and distribute to employees
Request front desk job posting and participate in hiring and termination processes.
Submit all Front Desk employee change forms and evaluations to HR.
Assist accounting with invoices and billing procedures
Must be on-call when needed for emergency purchases
Pleasant disposition with residents, families, employees and all external customers.
Strong verbal and written communication skills.
Basic typing skills and basic understanding of computers.
Knowledge of copying machines and other office equipment.
Ability to clearly and accurately read, write, understand and speak the English language.
Ability to work independently and handle emergency situations calmly.
Ability to manage, train and schedule staff
Knowledge of equipment and supplies
Familiarity with store procedures, location, and cataloging of material.
Must be able to lift appropriately for the position.
Numerical-performs arithmetic operations quickly and accurately
Motor coordination-coordinate eyes and hands or fingers in a speedy and accurate manner.
Must possess qualities of responsibilities, adapt to situations involving interpretation of feelings, ideas or facts, repetitive work, duties under stressful situations requiring preciseness, adapt to change of duties and responsibilities, ability to generalize, evaluate and determine outcomes.
