    Duties Summary

    This position is located in the Department of Veterans Affairs, Veterans Health Administration, Mid Atlantic Health Care Network, Durham VA Medical Center, in Medical Service. The position is organizationally aligned under Medical Service where the position provides administrative support for the Critical Care Unit and other assigned specialty sections throughout the service.

    Responsibilities
    • The incumbent is responsible for collecting, compiling and/or tracking statistical information and preparing complex data/reports related to the administrative, clinical, and technical aspects of the programs assigned.
    • Maintains, reconciles, and verifies the quality assurance of reports for the service and perform duties related to the maintaining, tracking and trending data.
    • Manages the inventory system for the addition of new equipment, tracking repairs and replacements for equipment in the service.
    • The incumbent acquires data, monitors and evaluates the service's quality management briefings and other reports.
    • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
    • The incumbent serves as a Timekeeper for the service and as a point of contact for timekeeping procedures and regulations regarding tours of duty, leave, travel requests, etc.
    • Receives all telephone calls and correspondence which are then screened on the basis of knowledge of the program or operations, and refers to appropriate personnel for action.
    • The position is a problem solver with the special ability to integrate overall knowledge of the service systems with VISTA applications and to be innovative in the process.
    • The incumbent identifies the appropriate IT Specialist to assist with the multiple issues that can affect the network and or Vista Operations and the incumbent is essential to the quick recovery of issues that cannot be solved by the incumbent through entering in work requests and acting as liaison for customers and OIT support.
    • The incumbent advises staff in all aspects of software used by the entire service, including MS Excel, Access, Word, and Power Point.

    Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/14/2020.
    Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
    Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
    This position requires a qualified typist of a minimum of 40 words per minute.
    You may qualify based on your experience as described below:
    • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: medical service operations, programs, policies, and procedures to extract information from various sources; collecting, compiling, analyzing, and tracking program specific data and reports; identifying problems and recommending solutions; providing guidance on procedures; receiving and referring telephone calls and visitors; editing and composing correspondence and reports; maintaining calendars; and storing of records and data.
    Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone-no substitution of education for experience is permitted.

    Physical Requirements: The work is sedentary with some walking, standing and bending, sometimes while carrying light items such as papers, books, and files. The work is performed in an office or similar setting requiring normal safety precautions against everyday risks or discomforts.
