HOW YOU WILL IMPACT OUR MISSION
The Administrative Assistant performs all job assignments with a positive attitude that supports Global's (SDZG) mission and vision of saving species worldwide by providing secretarial/administrative support of moderate difficulty, coordinates various office activities, and does not formally supervise support staff.
WHAT YOU WILL DO
Provides secretarial support
Schedules assigned director's/manager's calendar
May assign work schedules to staff as appropriate
Screens and assists visitors/callers
Serves as receptionist as needed
Produces a variety of reports and documents
Reviews and distributes mail
Composes/edits routine correspondence
Works with donors and volunteers as assigned
Arranges meetings and takes minutes as required
May provide lead guidance to clerical staff
Maintains a variety of contacts in order to respond to inquiries and requests
Adheres to all SDZG and department policies and practices
Performs other related duties and responsibilities
WHAT ARE WE LOOKING FOR?
The successful candidate must have excellent organizational, customer service, editing, proofreading, grammar and keyboarding skills. Administrative support experience is required. Must be detail-oriented, competent in composing routine correspondence, and have excellent knowledge of computer systems, which includes spreadsheet and Windows, Outlook, Word, Excel, and PowerPoint. The candidate will be responsible for ordering, shipping, and receiving of all incoming and outgoing goods and services while maintaining financial logs. Knowledge of procurement and financial record keeping is desirable. Selected candidate will manage the construction and maintenance team’s work and meeting schedules. The Construction and Maintenance team is a fast moving and dynamic environment. Candidate must be able to multiple task. A good driving record and a valid driver license is required.
Experience in a professional secretarial/ administrative capacity
EDUCATION AND CERTIFICATIONS
California driver license is required
SKILLS AND KNOWLEDGE
Principles and practices of organization, and planning
Use word processing in preparing routine documents
Use database, spreadsheet, and desktop publishing systems is desirable
Use office equipment
Compose routine correspondence
Handle multiple tasks
Take fast notes or shorthand is desirable in some assignments
Communicate effectively (verbal and written)
Work effectively with others in a diverse environment
